Position: Reception Assistant

Location: London, SE1

Salary: £19,916.23 (pro rata)

Contract Type: 6 months fixed term

Working pattern: 08:00-17:30, 3 days a week (Tuesday, Wednesday, Thursday)

Candidate Requirements:

  • Experience in a busy office or venue environment, ideally in a reception, front‑of‑house or other customer‑facing role (phone and in‑person)
  • Confident computer skills - at least intermediate MS Word, Excel and Outlook
  • Excellent verbal communication - polite, clear and able to be assertive when needed
  • Strong organisational skills - particularly record‑keeping, filing and attention to detail
  • Calm under pressure, with a flexible, proactive approach to work
  • A real team player with a customer‑focused attitude and willingness to help colleagues and clients alike

Desirable (but not essential):

  • Knowledge of switchboard operation
  • Fire warden training
  • First aid training

The Role:

As a Reception Assistant at 15Hatfields, you will play a pivotal role in the success of our operations.

Responsibilities include:

Reception Operations

  • Reception duties, which include operating the switchboard for CIEH
  • Meeting and greeting visitors, following signing in procedures
  • Work closely with venue clients who will share the reception for their delegate sign in and registration, provide support for the clients
  • Ensure all correct signage is in place, both digital and printed
  • Keep the reception area clean, tidy and clutter free
  • Manage sign out of building keys with regular contractors

Office Administrative support

  • Assist in providing on-site support for departments based remotely, including printing and posting
  • Provide admin support for 15 Hatfields, including supplier setup, creating purchase orders, credit card purchases, invoicing and reconciliation support
  • Any other administrative task as requested, appropriate for reception and admin role

Security and emergency protocols

  • Provide first point security screening, follow other security protocols as required
  • Be the first point of contact for any arising emergencies in the building and escalate through to the management team/departments.
  • Understand the full fire evacuation process and assist the senior fire warden as required

Customer and booking support

  • Any reasonable customer, delegate, tenant, visitor or management requests in line with a reception and admin role

Position: Casual Event Staff

Location: London, SE1

Hourly Rate: £14.80

Contract Type: Zero-Hour Casual Contract

Availability Required: Monday - Friday (Immediate start possible)

  • Previous experience in conference and events venues or silver service waiting
  • Strong customer service skills
  • Clear and effective communication abilities
  • Dedication and strong work ethic
  • Attention to detail
  • Ability to thrive under pressure and think on your feet
  • Knowledge of food safety, health, and safety protocols (an advantage but full training will be provided)
  • Familiarity with AV equipment (an advantage)

The Role:

As a casual worker at 15Hatfields, you will play a pivotal role in the success of our events.

Responsibilities include:

  • Setting up meeting rooms and event spaces, including manual handling of chairs and tables
  • Servicing meetings and events, including setting up catering and beverage stations and maintaining cleanliness
  • Re-stocking beverage stations as needed
  • Responding promptly to management and client needs
  • Assisting with bar service and canapé receptions
  • Serving at silver service dinner functions
